Best Practices for Environment Setup - Host & Presenters

Configure your system

  1. Obtain and connect the hardware you’ll need for the meeting: headset with microphone, supported webcam, phone (avoid the use of speaker phone).
    Wireless headsets and connecting through a USB hub are not recommended.
  2. In a corporate environment, contact the IT department before you host or attend your session. Have them allow port 1935 communication for Adobe. (You may need to speak with Tier 2 or Tier 3 IT support for this.) Ensure *.refineddata.com and *.adobeconnect.com are whitelisted. See the Vantage Point technical information.
  3. Ensure you have sufficient memory to efficiently run both Adobe Connect and an active Vantage Point Console, the recommended minimum is 8 GB.
  4. Install the most up to date version of your browser and ensure it is correctly configured to allow Flash for Adobe Connect through the browser’s advanced settings. Click here for more information.

    This link will also install the correct version of the Adobe Connect app.

Prepare to enter the meeting room

  1. Use a hardwired Ethernet connection. “No wireless. No exceptions.”
    Encourage participants to avoid joining a session via a wireless connection.

  2. Close any VPN connections and connect to the Internet directly.
  3. Disable backup software running in the background as well as anti-virus software doing system checks.
  4. Close e-mail, IM programs, Skype and all applications not being used for the meeting.

Prepare the meeting environment

  1. Run a pre-session test meeting without participants in which you configure the meeting room and Vantage Point settings.
  2. Configure your meeting room, upload your content and fully test all pods, settings and layouts before the meeting.
  3. In the Adobe Connect Meeting menu, select Preferences and set Video Quality to standard in the “Video” tab and Screen Share Quality to medium in the “Screen Share” tab.
  4. Have a backup plan. Make sure a backup audio system is in pace. If you’re hosting an important meeting, create a backup room before you begin. If you notice things slowing down (e.g., the chat and note pods), attendees being dropped and unable to log back in and latency in Adobe VOIP and video, your meeting room may have been “corrupted.” Switch to your backup room.
  5. Send meeting invitations to participants with system requirements and the system diagnostic link prior to meeting. In the meeting invitation to participants include a meeting link with “?proto=true” appended: https://yourdomain.adobeconnect.com/roomURL?proto=true This forces a meeting room or recording to open in the Adobe Connect app.

In the meeting room

  1. Run the Adobe Connect Audio Wizard immediately upon entering the meeting room.

  2. Insert your USB devices directly to your system before you launch the meeting room. If you add a USB device (microphone, camera or headset) during a meeting, you must exit and re-launch the meeting for Adobe to recognize the device.

Meeting Recommendations

  1. Avoid professional camera setups (multiple cameras with a switcher) or video production quality cameras with operators following the action in live events. Use only webcams supported by your operating system. Make sure to check your webcam before the session begins. You can use this link to test your camera.   2. Avoid high-resolution cameras. Adobe Connect attempts to downgrade higher resolution cameras, e.g. Surface Pro, which can result can be a distorted or black image
  3. Don’t rely on Adobe VOIP if audio is critical. Use telephony or webphone or have them available as a backup option.

  4. Offer “Navigate the Technology” pre-sessions for attendees in advance of your meeting to diagnose potential technical issues and orient them to Adobe
  5. Open up to two active Vantage Point Consoles any given time, we recommend only one active producer using the VP Console during a live session. Use the View Only link to provide access to instructors and / or observers, it is recommended to share the View Only link with up to 5 viewers. If you require more then 5 contact your Refined Data Specialist.
