New Refined Risk Reports

Generate custom reports with a specific set of filters and field values. From the Jump To menu select "Reports"

From the Reports Module page click on "Risk Reports" link:

From the Risk Reports page select "Add" to create a new report.  Saved reports will be available from this page for future use.

When adding a report, select the base type (property or users) and the report type.  The report type provides a specific set of filters and fields for you to customize based on the type of report you want to generate, as follows:

Record Counts by Property: Use this report type to generate a numerical count of all selected records by property.

Record Type by Property: Generate a report on properties that have a certain record type and details.

User Report: This report type is used for reporting on specific system user details (field values), and is available when the "Users" base type is selected.

Depending on the report type selected, a series of options and filters will be available to customize your report.  In the example above, a report can be generated to show available records for select properties.  Identify the fields to display and the field values to apply filters.  From the selection pane, drag and drop or double click the requested filters and select the embedded filter dropdown to specific field values.  


When finished, click on the "Report" button to display your report.  

If more than one record was configured for the report, each will display in a separate tab.  Extract the report into an excel file using the "Extract" button below.

You can save your report for future use, which will be made available on the Risk Reports list screen.

Access controls: Access to Risk Reports can be defined for specific users/roles from Administration >> Security Settings: Risk Report Access

  • There is an option to extract the data and charts into an excel file

Option to configure fields to display on all environmental record list screens and extracts:

When configuring Environmental Forms, the user-friendly field configuration screen allows administrator to drag and drop the fields they wish to display on Environmental Record List Screens.   Fields can additionally be dragged in order of appearance from the Selected Fields column. 

Fields can also be configured for Environmental Record extracts to minimize editing requirements. From the Record List screen extract, the option now exists to select the specific record fields to include in the extract, beyond core property details fields.  All form fields are available for the extract, despite whether these fields are enabled for this form, allowing reports to pull previous values for fields no longer in use.

New Environmental Report Workflow:

A new workflow is now implemented when adding environmental reports to simplify the steps in linking environmental records to the corresponding report types.  

As a starting point, administrators configure which records are linked to report types by going to Administration > Environmental Reports.  Select the report type and then check the reports that should be associated with this report.  

Once configured, adding a new report and selecting the report type will trigger the workflow by displaying the linked record type(s) in a floating link bar on the right side of the report data entry page:

Once report is saved, clicking this link will trigger the workflow for the specific report and open the corresponding environmental record list screen.  From here, a new record can be added. This record will automatically link to the Report and the workflow options will maintain on the page unless the user navigates away or cancels the workflow.

From the Report screen, the linked records can all be viewed.  Any changes made to the record will be automatically reflected in the workflow.

Environmental Report extracts are now available from the Reports Module, alongside the existing reporting tool (Jasper Reports).  Users can now run extracts on all or selected properties from this module vs going first to the property level extracts and selecting all properties.  Anyone who prefer to continue working with Jasper Reports can simply click on the "Switch to Jasper Reports" button available in the left menu.

From the property summary page:

Select the "Export Report Tasks" from the Alert section of the summary page.  The following filters are available for the extract:

  • Properties (default to the current property but option to select multiple properties)
  • Owner
  • Task Fields 
  • Report Type
  • Record Type
  • Task Status 
  • Date ranges

From the Environmental Reports Page:

Select a report - on the report screen, select the extract button.  The following filters can be applied:

  • Record Type 
  • Task Status
  • Task Fields

A new "Control" field has been created for Hazard records to capture control types (remediation categories) for how identified hazards are addressed.  Administrators can configure the various control types from Administration > OHS > Hazard Controls. Each control type can include a discription which will display (in brackets) when selecting the control type in the form to support with determining which control type is appropriate.  Only the control type name will display in the form once selected. 

These field values will then become available in the Control field on Hazard record forms:


Hazard extracts now includes columns for each defined control type and a "yes" or "no" value to reflect those selected for each record.

New Email Notification option for Questionnaires

Administrators can now customize and send bulk email notifications to all users scheduled to complete / approve questionnaires.

From Administration > Questionnaires select the specific questionnaire.  From the "More" drop down, select "Send Workflow Notifications" 

This opens a new window for selecting whether to send to individuals designated to answer and/or approve the questionnaire, as set at the property level.  Recipient list will automatically pull all designated approvers and editors to further define the selection.  The subject line and message can also be prepared from this window.  Clicking send will push this notification to all selected recipients.

New Insurance Recommendations Dashboard

This new dashboard provides a snapshot view of 30 day and 90 day overdue insurance recommendations tasks across the portfolio for simplified reporting and management. 

  • Circle charts show percentage of overdue recommendations tasks that were due in the last 30 and 90 days along with the count of overdue tasks and all tasks for the respective periods. 
  • The dashboard can be filtered by regional manager, province, city or recommendation task frequency in addition to the standard property filters
  • Export option can generate a list of all tasks or just overdue tasks

Clicking on the "Recommendations by Properties" link provides features to manage tasks and overdue tasks across the portfolio or sections of the portfolio. Regional Managers will only see the properties assigned to their region.

  • Clicking on a property will allow a filtered view of all recommendations and tasks assigned to that property
  • Option to view a task history, delete task, prevent rescheduling and edit the task available from this interface
  • Extract option available 

Clicking the "Recommendations Overview" link provides access to all insurance recommendations. 

  • Individual recommendations can be viewed and filtered by Property, Property Status, Regional Manager, Province, City, Asset Type, Task Assigned, Task Status and Overdue Tasks
  • Extract option available for a filtered list of tasks for a specific recommendation
  • Recommendations can be opened and edites from this list

Green Button Electricity Import: Phase 1
Clients can now download energy consumption data from energy providers (e.g. Toronto Hydro) and import these files directly into Refined Risk Sustainbility module to create Electricity consumption records by taking the following steps:

  • Select Property number for the address in the energy consumption file
  • Go to Sustainability > Building Performance Data > Electricity and locate the green button at the bottom right of the page
  • New import dialogue will open for current property.  Manually enter the Meter Number into field below Meter Number drop box with label "Or" 
    Note: Meter Number dropboxes can be configured by administrators in Phase 2.  
  • Click "Choose File" to locate energy consumption data file (green file)
  • Click Upload to create new record

The data will imported into a new record as follows:

  • Green Button file readings are summarized into monthly transaction; while readings may be in 30 minute or smaller frequency, the system will group all readings for a month and create a transaction with the total consumption spanning the first day of the month to the end of the last day of the month
  • System will attempt to find existing transaction by meter number, start date (1st of month), end date (last day of month) and where Record Type is Consumption (not Billing) If existing transaction is found, the system will update the consumption, otherwise another transaction is inserted.
  • Record Type will be Consumption (not Billing) for all records created
  • "Tenant Paid" field will default to No when a new transaction is created
  • "Estimated" field will be set to No when a new transaction is created
  • Reading Date can be left null
  • Period Start Date will be the first of the month that the transaction applies to
  • Period End Date will be the last day of the month that the transaction applies to
  • Total Cost will be zero when a new transaction is created
  • Meter Number will be set to the meter number on the import options page when a new record is created
